Mail server basics

What is an email server?
An email server works in a way similar to a postal (letter) delivery system. When you write a letter, you place it in the envelope and address it to the intended recipient and post it in the post box. The postman would collect this along with any other letters posted by other people.
The mail is then taken to the sorting office and sorted for routing. Mail managed by the sorting office is delivered locally, and the rest are sent to the recipients’ sorting office for delivery. From there the letters would be delivered by the post person to the property (house or business) identified by the address. The recipient can then open the letter and read the contents.
Email servers take the place of the sorting offices, sorting the messages sent to it from the mail client (Outlook Express, Outlook, Eudora, etc) and other email servers. Mail that is not for local recipients handled by the email server is sent out to external email servers. Internal mail, and mail intended for local mailboxes from other email servers, is held until the recipient connects to the email server to retrieve their mail – this action acts as the post person. The recipient can then read their mail in their mail client.
Do I need a email server?
If you use email and have a network of PCs, then you definitely need an email server. An email server will prevent mail from one local user to another having to out to the Internet. It will also allow you to collect mail instantly, or at predetermined times so that you never forget to collect your mail.
